Terms of Service

Rowpa generates AI-assisted drafts for your review. Outputs are not legal advice. We are not a law firm and no solicitor-client relationship is created by your use of this service.

1. About these terms

These Terms of Service ("Terms") govern your use of the Rowpa platform ("Service"), operated by Rowpa Ltd ("we", "us", "our"). By creating an account or using the Service, you agree to these Terms.

If you are using the Service on behalf of a company or organisation, you represent that you have authority to bind that entity to these Terms.

2. What the Service does

Rowpa is an AI-powered GDPR compliance platform that helps UK and EU small businesses create and maintain compliance documentation. The Service includes:

  • AI-generated Records of Processing Activities (ROPA)
  • AI-generated privacy policies
  • A vendor DPA library with verified compliance information
  • Data Subject Request (DSR) workflow management
  • Risk monitoring and compliance scoring
  • Audit-ready document export

3. Not legal advice

The Service does not provide legal advice. All outputs (ROPA entries, privacy policies, risk assessments, vendor analyses, DSR response drafts) are AI-generated drafts provided for your review and editing. You are responsible for reviewing all outputs before relying on them.

We are not a law firm. No solicitor-client relationship is created by your use of the Service. If you are unsure whether a specific compliance action is legally required for your business, you should seek independent legal advice.

The Service is not a substitute for appointing a Data Protection Officer (DPO) if you are legally required to have one under Article 37 of UK GDPR.

4. Account registration

To use the Service, you must create an account with a valid email address. We use passwordless authentication (magic links). You are responsible for maintaining access to the email address associated with your account.

You must provide accurate information about your business when using the onboarding process. The quality of AI outputs depends on the accuracy of the information you provide.

5. Plans and pricing

The Service offers a free tier and paid subscription plans. Current pricing is displayed on our pricing page. All prices are in GBP and exclude VAT unless stated otherwise.

Paid subscriptions are billed monthly or annually through Stripe. You can cancel at any time from the billing portal. Cancellation takes effect at the end of your current billing period.

14-day money-back guarantee: If you are unsatisfied with a paid plan, contact us within 14 days of your first payment and we will issue a full refund. This applies to the first payment only.

We may change pricing for future billing periods with at least 30 days' notice by email. You may cancel before the new pricing takes effect.

6. Your data

You retain all rights to the business data you enter into the Service and to the compliance documents you generate. We do not claim ownership of your content.

You grant us a limited licence to process your data solely for the purpose of providing the Service (including sending it to our AI provider for inference). This licence ends when you delete your account.

You can export your data at any time using the built-in export features (PDF, CSV, JSON). After account deletion, we retain your data for 30 days to allow recovery, then permanently delete it.

7. AI processing and accuracy

The Service uses Anthropic's Claude API for AI inference. While we work to ensure outputs are accurate and useful, AI-generated content may contain errors or omissions.

We display confidence scores on AI-generated ROPA entries to indicate the model's certainty. Low-confidence items should be reviewed carefully and verified against your actual business practices.

We do not guarantee that using the Service will make your business fully GDPR compliant. Compliance depends on many factors specific to your business, and AI outputs are one input into that process, not a complete solution on their own.

8. Acceptable use

You agree not to:

  • Use the Service for any illegal purpose
  • Attempt to access other users' data or accounts
  • Reverse-engineer, decompile, or disassemble any part of the Service
  • Use automated scripts to access the Service (except via our API, if available on your plan)
  • Resell access to the Service except through the Agency plan
  • Upload malicious content or attempt to compromise the platform's security

9. Intellectual property

The Rowpa name, logo, design, and codebase are our property. The vendor DPA library (including AI-enriched metadata) is our proprietary dataset.

You may not scrape, bulk-download, or redistribute the vendor library data. You may reference individual vendor entries in your own compliance documentation.

10. Limitation of liability

To the maximum extent permitted by law, our total liability to you for any claim arising from or relating to the Service is limited to the amount you have paid us in the 12 months before the claim arose, or £500, whichever is greater.

We are not liable for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business opportunity. This includes (without limitation) any regulatory fines, penalties, or enforcement actions that may result from reliance on AI-generated outputs.

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.

11. Availability and support

We aim to keep the Service available at all times but do not guarantee uninterrupted access. We may perform maintenance that temporarily affects availability, and will provide reasonable notice where possible.

Support is available via email at support@rowpa.app. We aim to respond to all enquiries within 2 business days.

12. Termination

You may close your account at any time from the Settings page or by emailing us.

We may suspend or terminate your account if you breach these Terms. We will notify you by email and give you a reasonable opportunity to remedy the breach before termination, except where the breach is serious (e.g. security compromise or illegal use).

13. Changes to these terms

We may update these Terms from time to time. If we make material changes, we will notify you by email at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance.

14. Governing law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
